For vendor management and operations
How it runs
From assignment to handoff.
Use these six stages to discuss the requirements for your file with operations. Confirm arrangements before placing an assignment.
Assignment to handoff
Six stages to coordinate with operations.
Confirm timing, reporting and documentation requirements directly with operations for your assignment.
-
Confirm the assignment channel.
Shield works with RDN and Clearplan. Contact operations to confirm the receiving account, instructions and coverage before sending borrower or account information.
- Confirm the assignment type and authorized contact
- Use the approved channel for vehicle and location details
- Do not submit sensitive file information through website inquiry forms
-
Discuss field work and updates.
Confirm the address, service requirements and reporting expectations with operations. Shield uses Insight licence-plate recognition data alongside its other assignment platforms.
- Confirm coverage for the specific location
- Discuss update frequency and the receiving platform
-
Keep assignment status current.
California permits recovery without judicial process only when it proceeds without breach of the peace. Contact operations promptly about a change, concern or cancellation.
- Confirm that changes have been received
- Ask operations to confirm the current assignment status
-
Confirm custody and intake requirements.
Discuss the storage arrangements and condition records your institution requires before placing the assignment.
- Ask about the collection and storage location
- Confirm available intake records and release requirements
-
Arrange personal property collection.
California law requires an inventory and notice for personal effects, subject to statutory exceptions. Anyone collecting belongings should call operations before travelling.
- Confirm identification and authorization requirements
- Ask about collection hours, location and any charges
-
Coordinate the next destination.
Confirm release authorization, the destination and the receiving contact with operations. Discuss transport, keys and paperwork needed for the handoff.
- Confirm authorization and collection arrangements
- Provide receiving-party instructions through the approved channel
Stage four, in detail
Discuss custody before placing the file.
Tell operations what your institution needs recorded at intake and release. Confirm the available records, storage arrangements and handoff requirements.
- Discuss required photographs and condition details
- Confirm personal property collection arrangements
- Agree on release authorization and receiving-party details
Ask operations for the facility details your vendor file requires, including security, attended hours and inspection documentation.
Secure custody and storageStage five is governed by statute, not by our preferences.
California Business and Professions Code section 7507.9 sets requirements for personal effects, inventory notices and secure storage, with exceptions and special handling rules. The notice is generally due within 48 hours, with additional time allowed in specified circumstances. It must state the collection details and any removal or storage charge.
The inventory is a confidential document. The statute limits its release to the debtor, specified legal process, or a named person authorized by the debtor in writing after repossession.
For collection instructions, visit the personal property pages or call operations. Read the California personal property requirements and the recovery provisions in Commercial Code section 9609.
Call before visiting to confirm the pickup location, release hours, identification requirements and any charge that applies to your file.
Discuss the requirements for your file.
Confirm coverage, reporting, documentation and release arrangements with operations.
